Influencer Strategy

To foster a positive change in afterschool programs, we must address the growing burnout and the need for impactful training. Integrating AI tools offers a practical solution, streamlining administrative tasks and empowering staff with new digital competencies. This plan is designed to support coordinators in reducing workload stress and building confidence in using technology to enhance their programs.

Part A: Influencer Report

Desired Results:

  • Enhance efficiency, reduce workload stress, and improve digital competency while promoting AI adoption and long-term sustainability.

The monthly Time & Effort Report as well as feedback surveys will be used to measure the following:

  • AI Adoption Rate: Percentage of coordinators using AI tools in their daily work.

  • Efficiency Gains: Reduction in time spent on administrative tasks.

  • Workload Stress Levels: Staff-reported stress levels before and after AI implementation.

  • Training Engagement: Attendance and participation rates in AI training sessions.

  • Digital Competency Growth: Improvement in staff confidence and knowledge in AI use (pre- and post-training assessments).

  • Feedback Trends: Ongoing input from staff and educators to refine AI integration.

Vital Behaviors:

  • Visible Challenges:

    • Coordinators complain about spending excessive time on administrative tasks, such as scheduling, lesson planning, parent communication, and attendance.

    • Staff not feeling confident or comfortable using AI tools.

    • Lack of structured, ongoing training programs within the organization.

  • Vital Behaviors to Address:

    • Coordinators using AI tools regularly to automate repetitive tasks (i.e. apps like Talking Points to automate language translation).

    • Adopting AI with confidence rather than avoiding or resisting it (Empowering coordinators through the train the trainer model).

    • Staff engaging with training sessions to build digital competency (monthly, required trainings).

Organizational Influencers:

  • Program Directors: Secure support, allocate resources, and ensure AI training aligns with organizational goals. Set expectations and foster a culture of innovation.

  • Program Coordinators: Lead AI adoption by participating in training, guiding staff, and integrating AI into daily operations. Serve as primary support for smooth implementation.

  • Early Adopters: Embrace AI tools and set an example for others. Their success informs best practices and encourages broader adoption across the organization.
